THE PURPOSE OF THE INTRODUCTION

With the introduction of the Cafeteria module, we wanted to achieve the transparency of the data management in the fringe benefits system. Thanks to the exploitation of integrated operation, the employees’ data is taken from one master, so the Cafeteria module can use the employees’ data once recorded on the part of the HR, the data do not need to be recorded twice. Another important goal was to register the employees’ data which are important for the HR within a human resources management system. Another aspect was to use the familiar, well-known and proven user-friendly interface management method for the cafeteria’s management.

THE PURPOSE OF THE INTRODUCTION

With the introduction of the Cafeteria module, we wanted to achieve the transparency of the data management in the fringe benefits system. Thanks to the exploitation of integrated operation, the employees’ data is taken from one master, so the Cafeteria module can use the employees’ data once recorded on the part of the HR, the data do not need to be recorded twice. Another important goal was to register the employees’ data which are important for the HR within a human resources management system. Another aspect was to use the familiar, well-known and proven user-friendly interface management method for the cafeteria’s management.

The Groupama Group is a key player on the French and European insurance markets. Creating more than 30,000 jobs in about 9 countries, including Hungary, it provides its clients with outstanding insurance services.
In Hungary, Groupama is present in the client circle of domestic families, as well as the small and medium-sized companies offering them home, life, accident, passenger and condominium, CASCO (comprehensive insurance) insurances, compulsory motor vehicle liability insurances, product guarantee, investment / savings products etc. for 18 years.
In the first half of 2008, the company has purchased OTP Garancia Biztosító Zrt. (Guarantee Insurance Inc.) and further acquisitions were made in Turkey, Bulgaria, Romania and Slovakia.

PREREQUISITES AND REQUIREMENTS FOR THE SUCCESSFUL INTRODUCTION

In order to ensure that the changes affecting the corporate income policy and the employees achieve positive results and positive opinion within the company, well-prepared and thought-out process management is needed. The L-SOFT advisory team has provided, among others, support for the integration of corporate and HR decisions.

To create and introduce such a system from within, you need to allocate a lot of time and energy, or use the support of an external expert. We have chosen the second option, because the service provider’s references in the introduction have provided a guarantee to us. The ideas and operational needs we have formulated have been put into practical operation by L-SOFT. The smoothness of the implementation process required interactive communication, exact formulation of the needs, the definition of the task and the appointment of a person responsible.

At every stage of the project, we kept simple and transparent operation in mind, and easy system attainment on the part of the employees.

Based on a corporate decision, the employees’ entitlement to the cafeteria allowance had to be examined and managed on the basis of a so-called full month rule. After defining this operating characteristic, our company-specific solution was developed within the framework of the project. With the automatic authorization monitoring, the manual recording tasks have been replaced.

CUSTOMS NEEDS

RESULTS AND EXPERIENCES

For the development of the cafeteria system, and for the corporate communication, we have used the consulting help of L-SOFT KFT. We have performed all the tasks connected to the introduction of the HR and IT together. Experience shows that it is advisable to use a consultancy team to develop such a HR system, which has a large routine in the introduction, and is able to look at the needs from the outside and the top, continuously keeping the characteristics of practice-oriented functionality in mind. The creation of the system was less time-consuming for us, because L-SOFT performed the tasks of policy writing, compilation of employee statements, and employee information.

The result confirmed our decision. During the joint presentation given together, the colleagues learned the operation of the system and understood its features. Data processing did not mean any cardinal problem.

The introduction of the cafeteria – within the company – is a success story: through the efficient collaboration between the HR-Payroll and the Labour Group, the IT department and the service provider, the individual tasks were solved, and the time schedule and resource allocation plan were followed.

Utilizing the modular architecture of the system, the various processes within the HR can be delegated to separate users. Thus, the workflow control supported by the module gives help to the day-to-day tasks of a given colleague.

The automations in the Cafeteria module facilitate the employee statement management. Thanks to the integration, the benefits are accounted automatically during the payroll calculation. The employees have all the important package information for a given period of time. The HR does not need to show the uses of the benefits on a separate form as they are available on the payslip.

INCREASING EFFECTIVENESS WITH THE PIRAMIS

IT IS PLANNED…

The objective was the fully expanded use of the other, already introduced modules of Vezinfo and Training Management in the HR subsystem within the company.

In the second half of 2008, we will probably have the task of determining the further consistent operation of the data and business processes used by the two companies, Groupama and Garancia, used separately so far, in a consolidated manner. It is a fortunate fact that both companies use the PIRAMIS™ system to support their human resources management processes.

WHY PIRAMIS™, WHY L-SOFT?

Since 1st January, 2006, our company has been using the PIRAMIS™ Contractor, Payroll and Labour Subsystems to manage the contractors and the employees’ data.
According to the decision of the company management, the system of fringe benefits has been introduced by our Company from the year 2007. For the IT support, we have used the Cafeteria module of the PIRAMIS™ HR subsystem. For our decision, integrated system operation and simple data management were important criteria: Our employees can collect the information about the cafeteria package from their payslip – the accumulated amount of the benefits accounted already, the given month’s data, and the amount of the allocation that can be claimed for the next period.
Our decision was supported by the fact that L-SOFT Kft.’s cafeteria service portfolio covered all the tasks of the system design, so we were able to solve the introduction of the HR and the IT systems with a single service provider.
